This Privacy Policy explains how FocusApp (“FocusApp”, “we”, “us” or “our”) collects, uses, discloses, retains and safeguards personal data when you visit our website, create an account, or use the FocusApp platform and related services (collectively, the “Services”). It also describes the rights and choices available to you under the Digital Personal Data Protection Act, 2023 and the Information Technology Act, 2000 and the rules made thereunder.

By accessing or using the Services, you acknowledge that you have read and understood this Policy. If you do not agree with it, please do not use the Services.

1. Who we are

FocusApp is a Software-as-a-Service platform that provides business, order, production, document and related management tools to businesses. For the purposes of applicable data-protection law, FocusApp acts as the Data Fiduciary in respect of personal data we determine the purpose and means of processing. Where we process data on behalf of our business customers (for example, information a customer stores inside their own workspace), we act as a Data Processor and process such data under our agreement with that customer.

2. Information we collect

We collect the following categories of personal data:

  • Account & identity data — your name, email address, mobile number and password (stored only in encrypted/hashed form) when you register or sign in (including via Google Sign-In).
  • Workspace & business data — company name, workspace address (subdomain), and the business records you or your team create within the Services (such as contacts, orders, documents and invoices).
  • Payment data — plan selection and transaction records. Card and banking details are collected and processed directly by our payment gateway (Razorpay); we do not store full card numbers.
  • Usage & device data — log data such as IP address, browser type, device identifiers, pages viewed, and timestamps, collected to operate and secure the Services.
  • Communications — information you provide when you contact support or correspond with us.

3. How we use your information

We use personal data for the following purposes:

  • to create and administer your account and provision your workspace;
  • to provide, maintain, secure and improve the Services;
  • to process subscriptions, payments, renewals and invoices;
  • to authenticate you and send one-time passwords and security notifications;
  • to send service, transactional and (where permitted) product communications;
  • to provide customer support and respond to your requests;
  • to detect, prevent and address fraud, abuse and technical issues; and
  • to comply with legal obligations and enforce our terms.

4. Legal basis for processing

We process personal data on the basis of your consent, for the performance of our contract with you, for certain legitimate uses permitted under the Digital Personal Data Protection Act, 2023, and to comply with applicable law. Where processing is based on consent, you may withdraw it at any time as described in Section 8.

5. How we share information

We do not sell your personal data. We share it only as necessary and with appropriate safeguards, with:

  • Service providers (Data Processors) — cloud hosting, database, email and SMS delivery, and analytics providers who process data on our instructions;
  • Payment processor — Razorpay, to process payments and manage subscriptions, subject to its own privacy policy;
  • Legal and regulatory authorities — where required by law, court order, or to protect our rights, users or the public; and
  • Successors — in connection with a merger, acquisition or reorganisation, subject to this Policy.

6. Data retention

We retain personal data for as long as your account is active and thereafter only as long as necessary to fulfil the purposes described in this Policy, to comply with our legal, accounting or reporting obligations, and to resolve disputes. When data is no longer required, we delete or anonymise it.

7. Data security

We implement reasonable security safeguards appropriate to the risk, including encryption of sensitive fields, hashed passwords, per-tenant data isolation, access controls and transport-layer encryption (HTTPS). No method of transmission or storage is completely secure; we cannot guarantee absolute security, but we work to protect your data and to notify you and the relevant authority of a personal-data breach as required by law.

8. Your rights

Subject to applicable law, you have the right to:

  • access a summary of the personal data we process about you;
  • request correction, completion or updating of inaccurate or incomplete data;
  • request erasure of your personal data where it is no longer required;
  • withdraw consent previously given;
  • nominate another individual to exercise your rights in the event of death or incapacity; and
  • register a grievance with us and, if unsatisfied, with the Data Protection Board of India.

9. Cookies

We use strictly necessary cookies to keep you signed in and to secure the Services, and may use limited analytics cookies to understand usage. You can control cookies through your browser settings; disabling essential cookies may affect the functioning of the Services.

10. Children

The Services are intended for business use and are not directed to children. We do not knowingly process the personal data of children except with verifiable parental consent as required by law.

11. International transfers

Your data is primarily stored and processed in India. Where any processing occurs outside India (for example, by a service provider), we take steps to ensure such transfers comply with applicable law.

12. Changes to this Policy

We may update this Policy from time to time. We will post the revised version on this page and update the “Last updated” date. Material changes will be notified through the Services or by email.
